Position Purpose:

The Sales & Operations Support Specialist supports Sales and Distribution Operations by ensuring accurate item balance and transactional integrity between PeopleSoft and High Jump/K1, while addressing customer returns, delivery issues, and claims. It aligns with company policies to optimize costs for both the company and customers. Key responsibilities include daily reconciliations, transaction analysis, shipment discrepancy resolution, and effective communication with the Sales and Distribution Teams to ensure seamless operations.

Primary Responsibilities:

  • Run daily report to process all requests for a return of merchandise or report of a shipment discrepancy. Analyze requests, determine resolution requirements and process accordingly. Dispatch carrier and UPS labels for the return of product. Collaborate with the DCs to ensure returned merchandise is received promptly so that credits are posted to the customer in a timely manner.

  • Manage and oversee the Smartsheet tracking system for various requests, including MSR/MDA, CS, Sales Consultant, and RMA Processing. Take a proactive role in investigating, analyzing, and resolving transaction discrepancies reported by departments such as distribution center operations, customer service, purchasing, and accounts payable. Ensure that each request is thoroughly addressed by collaborating with cross-functional teams to identify root causes and implement effective solutions, driving timely resolution and maintaining smooth operational flow.

  • Collaborate with Procurement to assist with creating MSR for balancing inventory across all Distributions Centers ensuring the right product is in the right DC. Create MDAs to assist in moving discontinued/inactive/ expired products out of the DC as well as for donations to local charities.

  • Monitor and identify aged open orders, working proactively to resolve any backorders or IT-related issues that may be preventing successful order closure. Collaborate with relevant teams to troubleshoot and address obstacles, ensuring orders are processed efficiently and timely. Take ownership of clearing backlogs and implementing corrective actions to streamline order fulfillment and minimize delays.

  • Actively participate in virtual meetings with cross-functional teams, contributing insights, updates, and solutions to challenges. Facilitate communication and alignment between departments to drive operational efficiency.

Education:

Bachelor’s Degree preferred.

Experience:

1-2 yrs. experience working in an Office or Distribution Center (DC), including working knowledge of DC activities including receiving, shipping, cycle counting and all activities relating to inventory.

Skills:

  • Excellent communication (verbal and written), interpersonal and professional interactive skills are necessary to perform at a high degree of proficiency.

  • Ability to effectively present information and respond to questions from vendors, distributors, management and inter-department staff.

  • Capable of working with internal staff from other departments in a proactive and constructive manner.

  • Ability to read, analyze and interpret a variety of instructions, communications, and reports provided in written, verbal, transactional or Excel spreadsheets format.
