Job Summary:
The Sr. Analyst, Total Rewards Projects is an individual contributor role responsible for supporting the planning, coordination, and execution of projects and system initiatives across the Total Rewards function. The Sr. Analyst contributes specialized knowledge of Total Rewards systems, processes, and data to support project delivery, quality assurance, integration activities, and compliance requirements. The Sr. Analyst brings strong analytical capabilities and project coordination skills to drive accurate, timely, and data-informed outcomes across all Total Rewards disciplines.
Primary Responsibilities:
Total Rewards Project Support & Coordination
- Support the end-to-end coordination of Total Rewards projects across Benefits and Compensation functions, including system implementations, upgrades, integrations, and process improvement initiatives; track milestones and flag risks to the appropriate project lead.
- Assist in the development and maintenance of project plans, timelines, status reports, and documentation for assigned projects.
- Coordinate cross-functional tasks among HR, Payroll, HRIS, Technology, Legal, Finance, and external vendors to keep projects on track.
- Participate in project workshops, requirements-gathering sessions, and stakeholder meetings; document outcomes and action items.
- Support project governance activities across all assigned Total Rewards initiatives, including tracking of risks, issues, decisions, and change requests.
- Adapt priorities and reporting relationships fluidly based on the active project portfolio, operating under the direction of the appropriate Benefits or Compensation team leader for each engagement.
Benefits Projects & Systems
- Support project integration, testing, and optimization of Workday Benefits modules and Bswift in coordination with HRIS and Technology teams.
- Participate in quality assurance and user acceptance testing (UAT) for Benefits and Compensation system changes, new plan implementations, and integrations, documenting results and escalating issues.
- Assist in managing integrations between Workday and external Total Rewards systems (e.g., Bswift, The Hartford, Fidelity), coordinating with HRIS and vendors to ensure accurate data flow.
- Maintain working knowledge of Benefits system configurations, business rules, and workflows to serve as an informed resource for the Benefits Analytics team.
- Support Benefits compliance activities by gathering and organizing data needed for non-discrimination testing, government filings, and regulatory reporting.
Compensation Projects & Systems
- Support project coordination and analytical work for Compensation, Executive Compensation, and Incentive-Based Compensation initiatives, including system implementations, compensation cycle activities, plan design projects, and reporting enhancements.
- Assist in gathering, organizing, and validating compensation data from Workday and other sources to support Compensation projects.
- Participate in UAT and quality assurance for Compensation system changes, documenting results and escalating issues.
- Maintain working knowledge of Compensation system configurations, business rules, and workflows to serve as an informed analytical resource across all three Compensation teams.
Data Analysis & Reporting
- Gather, validate, and analyze Total Rewards data from Workday and other Total Rewards systems to support project needs, operational reporting, and compliance activities across Benefits and Compensation.
- Work with HRIS reporting resources to build and maintain standard and ad hoc reports and dashboards using Workday and other HR analytics tools, presenting findings in clear, organized formats for the applicable project lead and team.
- Support advanced data analysis for complex projects, identifying trends and surfacing actionable insights to inform Total Rewards strategy and operations.
- Assist in preparing data summaries, project updates, and analytical outputs for internal stakeholders and leadership as directed.
Process Improvement & Automation
- Identify opportunities for process improvement, automation, and efficiency gains within Total Rewards administration and project workflows, document findings and present recommendations to the applicable project lead.
- Support the research and evaluation of new tools, technologies, and AI-assisted solutions relevant to Benefits, Compensation, and Total Rewards project delivery.
- Assist in the development and documentation of standard operating procedures, workflows, and job aids related to Total Rewards systems and project processes.
Stakeholder Support & Communication
- Serve as an analytical and project coordination resource for Benefits and Compensation team members and other internal partners.
- Support the development of training materials and communication resources for Total Rewards system updates, new processes, and project rollouts.
- Assist in coordinating vendor relationships by tracking deliverables, preparing meeting materials, and documenting follow-up items.
Compliance & Risk Management
- Assist in ensuring that Total Rewards system configurations and project outputs adhere to applicable data privacy, labor, and regulatory requirements, including ERISA, HIPAA, ACA, COBRA, FMLA, and FLSA.
- Support compensation-related compliance activities as directed.
- Proactively flag potential compliance or data integrity issues identified through project work or reporting to the appropriate project lead or Sr. Manager.
Minimum Qualifications:
- Bachelor’s degree in Human Resources, Business, Finance, Information Technology, or a related field, or equivalent relevant experience.
- 4–6 years of experience in Total Rewards, HR technology, or a related analytical role, with exposure to Benefits and/or Compensation programs.
- Demonstrated experience working with Workday HCM, Benefits or Compensation modules, or comparable HRIS platforms.
- Experience supporting HR or Total Rewards projects, including system implementations, integrations, or process improvement initiatives.
- Strong analytical skills with the ability to gather, validate, and present data clearly.
- Working knowledge of applicable regulatory requirements across Benefits (ERISA, HIPAA, ACA, COBRA, FMLA) and Compensation (FLSA, pay equity).
- Advanced proficiency in Microsoft Office applications, particularly Excel.
Preferred Qualifications:
- Experience supporting both Benefits and Compensation projects or programs.
- Experience with Bswift or comparable benefits administration platforms.
- Workday Compensation or Benefits module reporting and configuration experience.
- Familiarity with Workday Payroll
- Familiarity with executive compensation data, incentive plan structures, or market pricing methodologies.
- Project management training or certification (PMP, CAPM, or equivalent).
- Experience working in a large, complex, or unionized organization.
Technical Skills & Abilities:
- Strong analytical and problem-solving skills; ability to interpret complex data and translate findings into clear, actionable outputs.
- Detail-oriented with strong organizational skills and the ability to manage multiple projects and deadlines simultaneously across different functional teams.
- Effective written and verbal communication skills; ability to present information clearly to both technical and non-technical audiences.
- Ability to work independently, adapt quickly to shifting priorities, and navigate dotted-line reporting relationships across multiple teams.
- Proficiency with data reporting and analytics tools; experience with HR analytics platforms a plus.
- Familiarity with project coordination methodologies and tools.
- Process-oriented mindset with an interest in continuous improvement and technology-driven solutions.
Decision-MakingAuthority:
- Self-direct day-to-day work activities and prioritize tasks in alignment with project timelines and direction from the Sr. Manager or applicable dotted-line project lead.
- Make independent decisions on data gathering methods, report formats, and analytical approaches used to complete assigned work.
- Recommend process improvements, system enhancements, and project adjustments; escalate decisions with broader organizational impact to the appropriate project lead or Sr. Manager.
- Coordinate directly with vendors and internal partners on routine project and data matters; escalate unresolved or strategic issues to the Sr. Manager.
