This is a hybrid position requiring an on-site presence 3 to 4 days per week. Please note that the number of days on-site can increase based on business needs.

The LOA Analyst / Administrative Assistant is a dual-function role within the HR Benefits & Leave Administration team. The primary focus of this position (80%) is managing employee leave of absence and return-to-work processes, ensuring a smooth, compliant experience for colleagues in accordance with federal, state, and local regulations and Sysco policies. The remaining 20% of this role provides dedicated administrative and operational support to department leadership.

This role involves coordinating with HR Business Partners, business leaders, colleagues, payroll, and third-party leave and workers' compensation administrators, while also handling confidential correspondence, scheduling, record-keeping, and general office functions for the Benefits team.

LOA Analyst Responsibilities (80%)

  • Manage Leave Requests
  • Evaluate and process requests for various leave types including FMLA, ADA, short-term disability, and state paid benefit programs.
  • Colleague Consultation
  • Provide guidance to colleagues regarding leave policies, procedures, and their rights, including state paid benefit programs.
  • Return to Work (RTW) Administration
  • Review and audit the RTW process for claims, including the RTW Transitional Program; coordinate with external vendors and internal business units to ensure compliance.
  • Documentation Review
  • Review medical documentation and required paperwork to ensure compliance with applicable legal standards and company policy.
  • Communication & Case Management
  • Serve as the primary point of contact for colleagues on leave, maintaining regular communication to address concerns and provide status updates.
  • Cross-Functional Collaboration
  • Partner with HR, payroll, and business management to ensure proper leave administration and seamless return-to-work outcomes.
  • Compliance Monitoring
  • Stay current on federal, state, and local leave laws; implement necessary policy changes to maintain compliance.
  • Record Keeping
  • Maintain accurate, confidential records of leave requests, approvals, and denials in HRIS systems.
  • Reporting & Analytics
  • Generate and distribute reports on leave trends, usage, and compliance metrics for management review.

Administrative Assistant Responsibilities (20%)

  • Provide administrative support to the HR department leadership as required.
  • Establish and maintain accurate filing systems including attendance records, expense reports, vendor/supplier information, purchase orders, and invoicing.
  • Create and distribute correspondence including memos, letters, and presentations on behalf of department leadership.
  • Arrange travel accommodations for department officers (VPs)
  • Manage scheduling for department officers (VPs)
  • Answer telephone calls, take and relay messages, open and distribute incoming mail, and manage general office communications.
  • Prepare express mail, copy, fax, and handle other administrative/secretarial duties as required.
  • Support profit plan preparation and other departmental reporting as assigned.

Qualifications

Education

  • Bachelor’s degree in Human Resources, Business Administration, or a related field preferred; equivalent work experience will be considered.
  • High school diploma required at minimum.

Experience

  • Minimum 2–3 years of HR, leave administration, case management, or professional secretarial experience required.
  • Previous experience in leave administration, benefits, or HR operations strongly preferred.
  • Experience coordinating with third-party administrators (TPA) or workers’ compensation vendors a plus.

Knowledge & Certifications

  • Strong working knowledge of leave laws including FMLA, ADA, and applicable state leave regulations.
  • Familiarity with workers’ compensation processes preferred.
  • Certified Professional Secretary (CPS) certification a plus, but not required.

  • Ability to work independently and manage multiple projects concurrently with minimal supervision.

Technical Skills

  • Proficiency in HRIS platforms; experience with Workday preferred.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Access).
  • Strong word-processing skills (50–60 wpm) and business writing ability.
  • Experience with document formatting, tables, presentations, and records management.
