Overview:

Provide administrative, secretarial and general clerical support to five corporate counsel in an extremely busy environment.  The candidate must be able to anticipate deadlines, handle or redirect routine correspondence and inquiries and assist with special projects while providing general secretarial support, developing presentations, interacting with senior Sysco management, employees, outside counsel, directors, lawyers, business agents and government investigators, including heavy telephone coverage, substantial word processing and document production, maintaining calendar, handling travel arrangements, scheduling meetings and preparing reports and presentations as required.


Responsibilities:

Include the following, other duties may be assigned:

 

Administrative:

 

¨      Aid attorneys in keeping track of, organizing and processing requests for information, meeting deadlines and adhering to daily schedule.

¨      Astutely screen and direct or handle significant amounts of correspondence and telephone inquiries.

¨       Preparing correspondence, corporate documents, contracts and agreements while maintaining highest degree of confidentiality.

¨       Providing telephone coverage for heavy usage.

¨      Interface on daily basis with executive officers at corporate and operating companies, outside counsel and other professionals.

¨      Assist attorneys with special projects, e.g., acquisitions, contract revision, litigation, policies development and other projects as required.

¨      Work with operating companies, corporate and outside organization personnel on preparation for and scheduling of meetings, training, task forces, sessions, and   negotiations for attorneys.

¨      Organize and maintain administrative records and filing for Counsel and Legal Department.

¨      Work with staff, attorneys and paralegals to coordinate staff workloads.

 

 

Secretarial:

 

¨      Prepare correspondence, corporate documents, contracts and agreements while maintaining highest degree of confidentiality.

¨      Process incoming and outgoing mail.

¨      Provide telephone coverage for heavy usage.

¨      Coordinate and prepare updates for acquisitions, employment, labor, and litigation.

¨      Maintain daily calendar, schedule onsite and offsite meetings and prepare presentations when required.

¨      Coordinate travel arrangements of Counsel.

¨      Prepare expense reports.

¨      Maintaining attorneys’ case/matter files

¨      Prioritize correspondence for the Legal Department.

¨      Manage attorneys’ invoices via electronic billing system.

¨      Functioning as back up for other support staff.

 

Qualifications:

 

To successfully carry out the functions of this position, a candidate must exhibit poise and composure in a hectic environment, be able to work with minimal supervision, make independent decisions, work alone or as part of a team, work under pressure, prioritize and be detail oriented and accurate.  The requirements listed below are representative of the knowledge, skill and/or ability required:

¨      Detail oriented and accurate with the ability to work on multiple tasks while prioritizing workload.

¨      Ability to work well under pressure while maintaining composure and sense of humor.

¨      Professional telephone etiquette.

¨     Strong proficiency in MS Word, Excel and Outlook and intermediate knowledge of MS PowerPoint.

¨      Familiarity with Access a plus.

¨      Word processing at 70-80 wpm

¨      Legal transaction experience.

¨      Familiarity with corporate legal documents and administrative proceedings.

 


Qualifications:

 

High School Diploma Required. Associate’s / Bachelor’s Degree preferred.

Minimum of five years administrative and/or secretarial work experience in a legal environment required.

 

LANGUAGE SKILLS:

 

Above average command of English, both oral and written, and excellent grammar, proofreading, punctuation and spelling skills.

 

MATHEMATICAL SKILLS:

 

Above average arithmetical skills.
