Position Title:


Operations Administrative Assistant 




Day shift, non-exempt position.


Basic Function and Responsibility:


Under general supervision of the Director of Operations, provide administrative and clerical support to the Operations department.  Maintain various files and projects, communicate with managers in both Transportation and Warehouse and support their efforts to run an efficient operation.  


Characteristic Duties and Responsibilities:  


  • Compose and type correspondence, spreadsheets, reports and forms for the Operations department (daily, weekly, monthly).  Distribute same to departments throughout the Company.  
  • Update various daily-tracking reports – Operations overview report, Schedule 11, Tie-Out sheet, etc.
  • Extract warehouse productivity numbers from warehouse management system and post daily.
  • Provide assistance on special projects at the discretion of the Director of Operations.
  • Schedule operations vacations and floating holidays.  Document and communicate back to associates on approvals/denials.  Maintain operations scheduled day off report.
  • Administer payroll for the operations department.  Daily, check and correct ADP payroll reports for Operations department. 
  • Track, generate, and distribute performance coaching documents for various policies for the Operations department.
  • Utilize Tiny Term and Dakota (warehouse management system) to generate just in time replenishments, regular replenishments, clear flags, and release orders to the warehouse.
  • Maintain and inventory all supplies needed for the Operation department and order as needed (weekly/monthly).
  • Order uniforms and promotional items as needed.
  • Adhere to company good manufacturing and safety policies, procedures, and work rules.
  • Professional handling of confidential information.
  • Perform other duties as assigned.


Working Conditions:


  • General working conditions – exposed to adverse conditions 10% or less of time.


Supervision Received:


  • General supervision is received from the Director of Operations.


Supervision Exercised:


  • None.


Minimum Qualifications:


  • High school education or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired is required. 
  • 1 year of previous experience in an administrative assistant capacity required.
  • Excellent oral and written communication skills are required.
  • Ability to work with a variety of people and situations in a fast-paced environment is required. 
  • Intermediate Microsoft Word and Microsoft Excel required.  Microsoft PowerPoint skills highly are highly desirable. 
  • Ability to utilize a keyboard to enter, retrieve and manipulate data is required.
